Notion
Sync Notion pages into a knowledge base so the AI agent answers from your team's docs.
Connect a Notion workspace and pick the pages you want the AI agent to read. Chatasist pulls each page's content into a knowledge base, embeds it for retrieval, and re-indexes the page whenever you edit it in Notion.
Notion sync is available on the Growth plan and above (including Scale and Enterprise). On Free and Starter, the Integrations menu and the "Notion pages" option in the knowledge-base creator are hidden.
Connect a Notion workspace#
- Go to Integrations in the sidebar.
- On the Notion card, click Connect Notion.
- Sign in to Notion and choose the workspace you want to share.
- On the next screen, pick the specific pages the integration should read. Notion only shows Chatasist the pages you grant — anything else stays private.
- You're returned to the Integrations page with the workspace listed as Active.
You can connect more than one workspace if your team uses several (for example, a Marketing workspace and a Customer Support workspace).
Add Notion pages to a knowledge base#
Once a workspace is connected:
- Go to Knowledge Base in the sidebar.
- Click Create knowledge base, give it a name, and pick Notion pages as the type.
- In the sheet that opens, choose the workspace, search for the pages you want, and tick them.
- Click Add selected pages. Chatasist starts indexing in the background and the AI agent can answer from those pages on its next reply.
You can add up to 100 pages per submission. To add more, repeat the flow — there's no overall page cap inside a knowledge base.
Multiple knowledge bases#
Each knowledge base is its own bucket. You might keep a "Public help" KB fed by your customer-facing docs and a separate "Internal" KB fed by team runbooks, then point different channels at each.
How sync stays up to date#
Chatasist refreshes Notion content in two ways:
- Live updates via webhooks. When you edit a page in Notion, Chatasist receives an event and re-embeds that page within a couple of minutes.
- Safety-net sync. A scheduled job checks every connected workspace about every 10 minutes and re-pulls anything the webhook missed (rare, but possible if Notion delivery is delayed).
If you move a page to the Notion trash or archive it, Chatasist marks the matching source as Needs attention in the knowledge base — content already embedded keeps working, but you'll want to remove or replace the source.
Disconnect a workspace#
From Integrations → Notion, click Disconnect on a workspace.
- If no knowledge sources are linked to it, the workspace card disappears.
- If sources are linked, the workspace is marked Disconnected and the sources are flagged Needs attention. Reconnect the same workspace later to resume syncing them — Chatasist re-uses the existing rows.
Disconnecting does not delete already-indexed content. The AI agent keeps answering from the chunks it already has until you remove the affected sources or knowledge base.
What the integration can and can't see#
- Only what you share. Notion's permission model is the boundary. If Chatasist isn't added to a page, it can't read it — even via search.
- Page content, not Notion comments. Comments, mentions, and inline presence are ignored.
- Sub-pages follow their own sharing. Sharing a parent page does not automatically share its children in Notion; share them explicitly to include them.
Troubleshooting#
"No pages found" in the picker. Notion only shows pages that have been shared with the Chatasist integration. From Notion, open the page, click Share, and add the Chatasist integration.
A page didn't reflect my edit. Webhooks usually arrive in seconds; if not, the safety-net sync (about every 10 minutes) will catch up. You can also open the knowledge base and click Reindex to force an immediate refresh.
"This Notion workspace is no longer connected" toast. The workspace was disconnected or the token was revoked from Notion's side. Reconnect it from Integrations.
