Team & roles

Invite agents, assign roles, and manage multi-workspace membership.

Manage who's in your workspace under Settings → Users.

Roles#

Each member has one role per workspace:

RoleIntended access
AdministratorFull access, including settings, integrations, API keys, and team management.
ManagerTeam and operational oversight.
UserDay-to-day agent: inbox, tickets, customers.
ReadOnlyView-only.

Administrative actions — workspace settings, API keys, integration docs, and similar — are enforced as Administrator-only. Finer-grained distinctions between Manager, User, and ReadOnly are being rolled out; today the firm boundary in the product is Administrator vs. non-Administrator.

Invitations#

1

Invite

Enter an email and assign a role (and optionally departments). The person becomes an active member of your workspace right away — membership is never gated on them clicking the email. If the email belongs to a brand-new person, Chatasist creates the account and emails a welcome message with a set-password link valid for 7 days; until they set a password they show as pending (they can't sign in yet), but they're already a full member. If the email belongs to someone who already has a Chatasist account (for example, a member of another workspace), they're emailed a log-in link and can use their existing credentials immediately — no pending state.

2

Resend

If a pending member hasn't set their password yet, resend the welcome email — a fresh 7-day link is issued. Members who can already sign in don't need this.

3

Update or remove

Change a member's role and departments at any time, or remove them from the workspace.

The pending badge means the person can't sign in yet (no password set and no linked Google account) — it does not mean they're inactive. Pending members are full members: they count toward your plan's seats and can be assigned conversations. Inviting beyond your seat limit is blocked until you free a seat or upgrade. See Plan limits & enforcement.

Multi-workspace membership#

A single account can belong to several workspaces and switch between them with the company chooser. Inviting someone always adds them as an active member immediately — they don't have to accept anything first. Someone who already has a Chatasist account (for example, a member of another workspace) can sign in with their existing credentials right away. A brand-new account is just as much a member, but shows as pending until the person sets their password from the welcome email.
